The Document Specialist Manager leads and develops the Document Specialist team, providing high‑quality, client‑focused document production and management support across the firm. The role acts as a key liaison between Legal Support Services and practice groups, ensuring consistent service delivery, risk and compliance adherence, and effective workload management. The manager drives continuous improvement, supports projects, identifies efficiencies and cost savings, and maintains strong relationships with stakeholders while holding direct line management responsibility for the team.
Key responsibilities
- Manage and develop the Document Specialist team, ensuring high-quality document production and support across the firm, including fee earners and business services.
- Act as liaison between Legal Support Services teams and business practice groups to facilitate effective communication and workflow.
- Maintain strong relationships with stakeholders including Partners, Talent, Legal Support Services Leads and Managers.
- Oversee day-to-day team visibility and accountability for consistently high standards of client-focused service delivery.
- Identify and drive continuous improvement initiatives, proactively seeking stakeholder feedback and resolving service issues.
- Lead participation in projects by defining objectives, scoping requirements, and ensuring timely delivery within budget.
- Ensure adherence to the Firm’s risk management and compliance procedures at all times.
- Allocate tasks appropriately within the team; monitor resource levels and balance workloads effectively.
- Manage unplanned absences, conduct return-to-work interviews, oversee performance reviews, set development plans, address employee relations matters, and support recruitment processes in conjunction with Talent where necessary.
- Anticipate resource needs by working closely with fee-earners to understand deadlines, projects, and timescales; plan accordingly to meet client demand.
- Oversee onboarding for new joiners (including equipment provision), manage overtime requests/expenses against budget demands, monitor workflow during both scheduled/unscheduled absences as well as outside core hours.
Knowledge, skills and experience
- Excellent communication skills and the ability to work confidently and collaboratively across functions.
- Strong organisational skills with experience managing end-to-end tasks involving multiple stakeholders.
- Proven ability to lead, motivate and develop teams, including performance management and identifying training needs.
- Self-motivated, disciplined, with strong problem-solving abilities and attention to detail.
- Ability to multi-task effectively in a fast-paced environment while maintaining a calm and clear approach.
- Demonstrates ownership of tasks from initiation through to completion.
- Exceptional customer service mindset with a positive, proactive attitude.
- Specialist knowledge of standard IT applications such as Microsoft Word, Outlook, PowerPoint, Excel, Digital Dictation tools, DocXtools, Visio, VNC and Adobe Acrobat Professional.
- Experience in managing resources flexibly to meet business needs and tight deadlines.
